AI responsibility statement
How Apexward uses artificial intelligence responsibly in Apexward Pulse — with privacy, security, and compliance at the centre of every deployment.
How we use AI in this product
Apexward uses artificial intelligence and automation to improve delivery quality, reduce repetitive work, and support analysis for Apexward Pulse, a product of Apexward Group. We do so with privacy, security, transparency, and human accountability built into how AI is selected, configured, and used.
In this product, AI may assist with research, summarisation, drafting, classification, triage, and related workflow automation for cyber threat events. It does not replace Apexward's professional judgement or your organisation's decision making. Read this alongside our Website Terms and Privacy Policy.
Client data is handled deliberately
We do not place client confidential data, company names, staff names, personal data, credentials, security findings, incident evidence, or other sensitive client material into public consumer AI services unless a client has expressly instructed or approved that use for a defined purpose.
When AI is used with client or subscriber data, the tool, data flow, purpose, retention, and access controls should be appropriate to the sensitivity of the work and the agreed service.
- Data minimisation: use the least data needed for the task.
- Purpose limitation: use AI only for defined operational or delivery purposes.
- Confidentiality: protect client and personal data through access controls and supplier review.
Secure AI operations
Where AI supports intelligence, cyber security, software, or automation work for Apexward Pulse, we select deployment patterns that fit the risk. This may include private infrastructure, enterprise-controlled services, local processing, or client-approved tooling.
- Access control: AI systems and related data are limited to authorised personnel with a need to know.
- Secure handling: data is protected in transit and at rest where supported by the relevant platform and service design.
- Retention control: prompts, outputs, logs, and artefacts are retained only where needed for delivery, assurance, security, or legal purposes.
- Supplier assurance: AI suppliers and platforms are reviewed in proportion to the risk and sensitivity of the work.
Human accountability
AI can assist research, summarisation, drafting, classification, code support, triage, and workflow automation. It does not replace Apexward's professional judgement or client-approved decision making.
- Review: material AI-assisted outputs are reviewed before they are relied on or sent externally.
- Limits: we do not present AI output as guaranteed, complete, unbiased, or free from error.
- Decisions: we do not use AI to make legal or similarly significant decisions about individuals without appropriate lawful basis, safeguards, and human involvement.
- Disclosure: where AI use materially affects a deliverable, process, or risk profile, we aim to be clear with the client.
Compliance and continuous improvement
Our AI use is governed by the same security, confidentiality, data protection, and quality principles that apply to the rest of our services. We review AI risks as tools, regulations, and client expectations evolve.
We expect AI use to be lawful, proportionate, auditable where appropriate, and aligned with UK GDPR, the Data Protection Act 2018, confidentiality obligations, and applicable client contracts.
This statement applies to Apexward Group Ltd, Apexward Technology Ltd, and Apexward Consulting LLP, including Apexward Pulse product.
